Planning your club’s presentation night? Here’s what to think about before you organise the catering.

September comes around quickly for local football clubs.

One week everyone’s talking finals. The next, the committee is chasing RSVPs, collecting trophies, confirming award winners and trying to work out who’s organising dinner.

If catering has landed on your to-do list this year, you’re not alone.

Whether your presentation night is being held at the clubrooms, a community hall or a local function venue, the goal is usually the same. Feed everyone well, stay within budget and make the night easy for the volunteers who have already put in months of work throughout the season.

Over the years we’ve catered presentation nights for clubs across Cranbourne, Frankston, Carrum Downs, Pakenham, Cheltenham and surrounding suburbs, and one thing has become pretty clear. No two clubs run the evening the same way, but they all appreciate good food that’s ready when they need it.

If you’re comparing options, have a look at our Catering Services to see the different menus available for sporting clubs and community events.

Why Presentation Nights Need Different Catering

Presentation nights don’t follow the same schedule as weddings or corporate dinners.

A speech runs longer than expected.

The Best and Fairest count takes a while.

The Under 14s are lining up for photos while the seniors are catching up with teammates they haven’t seen since the last game.

Before long, dinner is running twenty or thirty minutes later than planned.

That’s why freshly prepared roast catering works so well. Hot roast meats, vegetables and sides hold their quality, even if the schedule changes. Nobody ends up eating a cold meal because the presentations took longer than expected.

It also means the committee isn’t stuck trying to solve catering problems while everyone else is enjoying the night.

What Catering Works Best?

Every club is different, so the best choice depends on your venue, guest numbers and budget.

Buffet Catering

For most football presentation nights, buffet catering is the simplest option.

Guests can serve themselves once their table is called, dietary meals can be prepared separately and people who are still hungry can usually go back for another helping.

It works well for both junior and senior clubs and keeps service moving without making everyone line up for too long.

Fresh Roast Catering

A fresh roast meal is still one of the most popular choices for sporting clubs.

Roast meats, seasonal vegetables, gravy, bread rolls and fresh salads are familiar, filling and suitable for guests of all ages.

Whether you’re catering for 60 people or 300, a roast meal is an easy option that suits almost every presentation night.

Individual Roast Meal Packs

Some clubs prefer individually packed meals, particularly for junior presentations or venues with limited kitchen facilities.

Each guest receives their own hot meal, making serving simple while reducing waiting times.

They’re also a practical option when you need to manage dietary requirements separately.

If you’re not sure which style of catering will work best, contact our team and we’ll happily talk through the options.

How Much Should You Budget?

Every committee asks the same question.

“How much should we allow per person?”

The answer depends on a few things, including your guest numbers, menu choices and venue.

Larger groups generally work out better value per person, and most dietary requirements can be accommodated without adding unnecessary cost.

The easiest way to get an accurate price is to request a catering quote with a few basic details:

  • Estimated guest numbers
  • Venue location
  • Kitchen facilities, if any
  • Dietary requirements
  • Whether you need delivery or service

We’ll recommend a menu that suits your event instead of trying to fit your club into a standard package.

A Few Things We’ve Noticed Over the Years

There are a few small things that make presentation nights much easier.

Book early.

September and October fill up quickly, particularly Friday and Saturday evenings.

Share a rough running sheet.

It doesn’t have to be perfect. A general idea of when you’d like dinner served helps us prepare everything at the right time.

Update your guest numbers.

People often decide to come during the final week. Letting your caterer know means everyone gets fed without ordering far more than you need.

Nominate one contact person.

Having one committee member available to answer questions makes the night run much more smoothly.

Why Local Clubs Choose Reddy Roasts

We’re a family-owned business based in Melbourne’s south-east, and community events have always been a big part of what we do.

From football presentation nights and junior sporting clubs to school events, birthdays and workplace functions, our focus has always been the same.

Serve generous food.

Arrive on time.

Make catering one less thing for organisers to worry about.

It’s a simple approach, but it’s one that’s seen many clubs come back to us year after year.

Community football continues to play an important role across Victoria, with local competitions supported by AFL Victoria.
